What you will be doing
In this role, you will be responsible for providing administrative and clerical support to Sales Managers in the hotel's continuing effort to deliver outstanding guest service and financial profitability. Responsibilities include, but a not limited to; assisting and responding to guests requests in a timely, friendly and efficient manner. Perform word-processing, typing, e-mailing, data-entry, filing, faxing, copying, and processing mail. Performing other general office duties and assist with special projects, as needed.
Requirements
Requirements include basic reading, writing and math skills. Regularly required to talk, hear and interact with guests. Frequently is required to stand and use hands to finger, handle, or feel objects, tools, or controls. Occasionally required to walk, sit, and reach with hands and arms. frequently lift and/or move up to 10 pounds, and stand for long periods of time. This job requires ability to perform the following:
•Answer Telephone And Respond To Caller Inquiries In A Pleasant Manner. •Answer Client/Booker’s Questions About Property Facilities/Services (E.G., Hours Of Operation, Rates And Room Types, Packages, Promotions, Entertainment, Restaurants, Etc.) •Serve As The Point Of Contact For Clients And Communicate With Them By Phone And Email To Respond To Questions And Requests. •Interaction With Clients Regarding Leads, Hotel Needs, And Client Travel. •Responsible For Coordinating Internally With The Sales & Catering Team. •Generating Reports, Preparing Proposals, Collecting Details, And Coordinating With Clients & Suppliers. •Prepare Sales-Related Documents Throughout The Sales Process (E.G., Proposals, Contracts, Banquet Event Orders, Cvgr Letters). •Gather Materials And Assemble Information Packages (E.G. Brochures, Promotional Materials, Sales Demo Kit, Welcome Kit, Souvenir, Etc.). •Generate Group And/Or Corporate Leads Through Internet Prospecting, Networking, And Telemarketing. •Assist Sales Team By Managing Schedules, Filing Important Documents, And Communicating Relevant Information. •Arrange And Coordinate Meetings, Events, And Any Appointments. •Meets With Clients In The Absence Of The Director Of Sales Or Sales Managers To Effectively And Professionally Convey Details Of The Sale To The Client. •Perform Hotel Site Tours With Potential Clients As Needed. •Monitor, Screen, Respond To, And Distribute Incoming Communications. •Design, Upload, Extract, And Maintain Customer Databases. •Should Know The Process Of Merging Profiles. •Load And Manage Rate Codes To The Hotel Software, And Link The Negotiated Rates To The Correct Company Profiles. •File And Retrieve Documents And Reference Materials. •Conduct Research And Collect Data To Prepare Reports And Documents. •Ensures All Documents Produced By The Sales Department (I.E. Beos, Contracts, Rooming Lists, Proposals) Are Completed Accurately And On Time. •Respond To Complaints From Customers And Give After-Sales Support When Requested. •Ensure The Adequacy Of Sales-Related Equipment Or Materials Are Available At All Times. •Other Duties As Assigned By The Director Of Sales Or The Management. |
Education & Experience
•One To Two Years In Related Experience And/Or Training.
•Previous OnQ And Delphi Experience.
•Previous Experience As A Sales Coordinator In The Hospitality Or Similar Industry.
•Proven Ability To Articulate The Distinct Aspects Of Products And Services.
•Demonstrable Experience In Sales, Developing Client-Focused, Differentiated And Achievable Solutions.
•Excellent Listening, Negotiation And Presentation Skills.
•Excellent Verbal And Written Communications Skills.
