Newly renovated Embassy Suites by Hilton hotel in San Rafael is currently recruiting a Conference Services Manager

The primary purpose of this positions to manage, coordinate and execute group assignments turned over by Sales managers.  Monitor all contractual agreements pertaining to guest room blocks, meeting space, food and beverage and special concessions.  Effectively communicate to all hotel departments the information necessary to successfully execute the group's needs while maintaining a good client relationship.

Essential Functions:

  • Manage, coordinate and execute group assignments turned over by Sales managers.
  • Monitor conference activities on-site to ensure accurate and timely execution of all arrangements.
  • Maintain strong client relations and ensure that conference specs are communicated and executed.
  • Monitor and manage room blocks according to contract specifications and communicate changes to the group rooms coordinator.
  • Thoroughly review sales contracts for important information (ie:  cutoff dates, room block, special concessions and attrition clauses, etc)
  • Work closely with clients to review program deadline dates in order to release unneeded meeting space.
  • Effectively negotiate special menus and/or meeting room rental charges and work to upgrade needs as possible.
  • Educate Meeting Planners of hotel procedures (ie: meal guarantees, set-ups, registration and checkout procedures, rooming list needs, etc)
  • Ensure face to face meetings with clients at least twice per day during their stay.
  • Participate in Pre/Post Conference meetings and review bill with client.
  • Verify credit/payment information submitted by group prior to arrival, minimally two weeks out.
  • Conduct weekly F&B meeting and review all BEO information with F&B leadership.
  • Produce and distribute conference resume prior to arrival.
  • Engage in site visits and or other client meetings (ie: tastings)
  • Perform other services and duties as requested by the Director of Sales and Marketing or General Manager.

Requirements to be considered:

  • Ability to read, speak and write fluently in English.
  • Very good to excellent computer/Microsoft Office skills.
  • Availability to be on property when needed (may include some weekends and holidays depending on conference dates).
  • Able to remain stationary (sitting or standing) for extended period with or without reasonable accommodation.
  • Must be able to lift/pull/carry/push up to 20lbs regularly and up to 40lbs occasionally with or without reasonable accommodation.
  • Specific vision abilities required by this position include:  close, distance, color, peripheral vision, depth perception and ability to focus.
  • Bachelors degree or equivalent combination of education and experience.
  • Minimum of 1 year management experience in a similar position within the hospitality industry.
  • Delphi experience is not required but is preferred.
  • Menu knowledge and pricing experience is also preferred.
